Responsibilities:
1. Multi-Organisational Coordination
- Serve as the primary liaison between HKDC and all Hong Kong Fashion Fest (HKFF) organising partners, ensuring alignment across timelines, deliverables, and brand standards.
- Establish and maintain robust coordination frameworks, communication protocols, and escalation procedures to manage inter-organisational dependencies.
- Coordinate and manage regular coordination meetings, prepare agendas, circulate minutes, and track action items to ensure accountability across all parties.
- Proactively identify and resolve conflicts, bottlenecks, or gaps in programme delivery across partners.
2. Event Planning & Execution Oversight
- Oversee end-to-end coordination of all HKFF 2026 programmes, from pre-event planning through to on-site execution and post-event wrap-up.
- Develop and maintain a master event calendar, programme schedule, and critical path aligned to the 1–10 September 2026 festival window.
- Monitor progress against milestones, flagging risks early and proposing mitigation strategies.
- Support venue logistics, supplier coordination, and technical requirements in collaboration with individual organisers.
- Ensure all events comply with relevant governance, legal, safety, and brand standards as required by HKDC and CCIDA.
3. Stakeholder & Relationship Management
- Cultivate and maintain strong working relationships with government bodies, industry associations, fashion organisations, sponsors, media, and venue partners.
- Attend all stakeholder meetings, site visits, press briefings, and official functions related to HKFF.
- Navigate complex multi-level stakeholder dynamics with professionalism, cultural sensitivity, and high emotional intelligence.
- Manage upward communications to senior leadership, providing clear, timely, and accurate updates on festival progress.
4. Communications & Marketing Support
- Collaborate with HKDC and HKFF's communications and marketing team to develop unified messaging, promotional collateral, and festival branding guidelines for HKFF.
- Ensure consistent application of the HKFF brand identity across all organiser touchpoints.
- Support media relations activities and contribute to press kit development and spokesperson briefings as needed.
5. Reporting & Evaluation
- Lead the drafting of comprehensive completion and evaluation reports post-festival, including programme summaries, attendance data, stakeholder feedback, and lessons learnt.
- Prepare regular progress reports and briefing documents for HKDC leadership and CCIDA.
- Develop templates and frameworks to systematise reporting processes for future editions.
6. General
- Provide supports and resources for other programmes within the Department and HKDC as needed.
- Perform any other ad-hoc duties as required to ensure the success of the programme goals.
Requirements:
- Bachelor's degree or above in Event Management, Marketing, Communications, Fashion Business, or a related discipline.
- Minimum 8 years of relevant professional experience, with at least 3 years in project and event management within the fashion, luxury, creative, or cultural industries.
- Proven track record managing complex, multi-stakeholder events of significant scale — experience with Art Basel, Design Week, fashion weeks, or comparable flagship events is highly desirable.
- Demonstrated experience launching new initiatives and managing end-to-end project execution from concept through delivery, in accordance with governance and compliance standards.
- Experience in in pitching projects, preparing grant reports or stakeholder presentations, and managing external partnerships.
- Outstanding communication skills, both written and verbal, in English; proficiency in Cantonese and/or Mandarin is a strong advantage.
- Exceptional organisational and project management skills; meticulous attention to detail with the ability to manage multiple workstreams simultaneously.
- Superior negotiation and influencing skills; adept at navigating diverse perspectives and reaching productive outcomes.
- Strong people skills and high emotional intelligence; comfortable working across different cultures, hierarchies, and working styles.
- Excellent problem-solving instincts — resourceful, calm under pressure, and solutions-oriented.
- Proficient in producing professional written content including reports, briefings, proposals, and completion documents.
- Digitally proficient; experienced with project management tools, communication platforms, and standard office software.
Appointment will be on a 1-year fixed term contract. Renewal of contract should be subject to operational needs and performance.
