Responsibilities:
1. Day-to-day Partner Coordination
- Serve as a key operational point of contact for Hong Kong Fashion Fest (HKFF) organising partners on scheduling, logistics, and information requests
- Coordinate and administer regular coordination meetings — prepare agendas, circulate minutes, and follow up on action items to ensure timely delivery
- Maintain shared coordination tools including tracking sheets, partner directories, and document repositories
- Flag emerging issues, conflicts, or delays to the Senior Manager with clear contextual information
2. Event Operations Support
- Support the maintenance of the master event calendar and critical path, updating progress against milestones in consultation with organising partners
- Assist with venue logistics coordination, supplier liaison, and technical requirement tracking across individual festival events
- Prepare and distribute operational briefings and run-of-show documents for events as directed
- Support on-site coordination during the 1–10 September 2026 festival window, including managing logistics flow and troubleshooting issues in real time
- Assist in ensuring compliance with HKDC governance, safety, and brand standards across all events
3. Stakeholder & Administrative Support
- Maintain and update stakeholder contact lists, partner records, and communication logs
- Assist in preparing materials for stakeholder meetings, site visits, and briefings
- Provide administrative coordination support for government liaison, sponsor management, and venue partner interactions as directed by the Senior Manager
4. Communications & Branding Support
- Support the coordination of brand compliance reviews across partner-produced materials, flagging deviations from HKFF brand standards
- Assist in compiling content, assets, and information for media kits, press packs, and promotional materials
- Manage routine correspondence with partners and internal teams on communications-related requests
5. Reporting & Documentation
- Assist in collating data, attendance records, and stakeholder feedback for post-festival evaluation reports
- Draft and maintain standard templates, trackers, and process documentation for coordination workflows
- Support preparation of regular progress updates and briefing documents for the Senior Manager
6. General
- Provide supports and resources for other programmes within the Department and HKDC as needed.
- Perform any other ad-hoc duties as required to ensure the success of the programme goals.
Requirements:
- Bachelor’s degree in Event Management, Marketing, Communications, Fashion Business, or a related discipline.
- Minimum 8 years of relevant professional experience, with a focus on event coordination, project management, or operations in the creative, fashion, luxury, or cultural industries.
- Experience working on multi-stakeholder events or programmes; exposure to flagship festivals, arts events, or fashion-related projects is an advantage.
- Demonstrated ability to manage multiple workstreams and meet deadlines in a fast-paced environment.
- Clear and professional written and verbal communication in English; proficiency in Cantonese and/or Mandarin is an advantage.
- Strong organisational skills and meticulous attention to detail.
- Comfortable working across diverse teams, cultures, and organisational hierarchies.
- Proactive problem-solver with a calm, solutions-oriented approach under pressure.
- Proficient in project management tools, communication platforms, and standard office software (e.g. Google Workspace, Microsoft Office, Notion, Airtable, or equivalent).
- Ability to produce clear, accurate written content including minutes, trackers, briefings, and coordination documents.
Appointment will be on a 1-year fixed term contract. Renewal of contract should be subject to operational needs and performance.
