Responsibilities:
1. Stakeholder Engagement & Relationship Management
Act as the first point of contact for key stakeholders on behalf of the Executive Director.
Coordinate and manage communications with partners, sponsors, government bodies, and institutional collaborators.
Prepare briefing notes, meeting decks, talking points, and follow-ups for stakeholder meetings and events.
Support the organization’s visibility and presence in the public and professional sectors.
2. Executive Support
Provide full-spectrum administrative support to the Executive Director, including calendar management, meeting scheduling, travel logistics, and correspondence.
Assist in the preparation of reports, presentations, and documentation for board and committee meetings.
Maintain organized systems for record-keeping, stakeholder contact lists, and follow-up actions.
3. Communications & PR support
Assist in drafting executive messages, speeches, press releases, and stakeholder communications.
Work closely with the Corporate Communications team to align messaging and manage media or public-facing opportunities for the Executive Director.
Support planning and execution of high-level events and engagements.
4. Project Coordination
Support cross-departmental projects led or overseen by the Executive Director.
Liaise with internal teams to ensure alignment and timely delivery of stakeholder-related initiatives.
5. Developmental Focus
Participate in mentorship and training opportunities with the Corporate Communications team.
Develop skills in external affairs, government relations, and executive communications.
Progressively take on more responsibility in stakeholder strategy and communication leadership.
Requirements:
Bachelor’s degree in marketing, communications is preferred but not mandatory;
Minimum 8 years of experience with at least 3-5 years in a stakeholder-facing, Public Relations or Event Management role;
Excellent written and verbal communication skills in English and Chinese;
Strong interpersonal and relationship-building skills;
Highly organized and detail-oriented with the ability to manage multiple tasks;
Discretion, maturity and professionalism in handling confidential matters;
Ability to work independently and as part of a fast-paced team.
